Peptide Label and COA Do Not Match: A Discrepancy Review Workflow

Review peptide label and COA disagreements with a documented workflow. Compare identity, lot, amount basis and versions, then request issuer-controlled clarification.

When a label and COA disagree, do not choose one as correct by default. First identify the conflicting field and connect both records to the material. A controlled review preserves the evidence, asks a precise question and records the authorized explanation or correction. It should not turn an unresolved discrepancy into an informal acceptance because the product name looks familiar.

Preserve the received information

Record the label image, document reference, order line and receipt details relevant to the concern. Keep the original file and legible images. Follow institutional procedures for the affected material while review is open. This article does not make a pass/fail decision for a particular batch. It provides an evidence-organizing workflow so the responsible reviewer can assess the discrepancy on its actual facts.

Compare one field at a time

Check complete material identity, chemical form, lot reference, amount statement and document version. Different quantity bases can produce apparently different values, so ask what each field describes. A catalog nickname and a full structural description might be compatible, but that mapping needs explanation. Do not automatically treat every wording difference as equivalent, and do not conclude that every difference proves a manufacturing error.

Label–COA discrepancy log
Step Record Review control
Capture Original label, file and order reference Preserve unedited evidence
Compare Field A versus field B Units and basis retained
Clarify Supplier / issuer explanation Separate from observed facts
Correct Authorized revised reference No internal report editing
Decide Evidence and limited outcome Technical review where needed
Archive Current and superseded records Traceable history

Separate facts from proposed explanations

Write the observed values exactly and identify their locations. Then list the supplier’s explanation separately. An email suggesting a typographic error is not the same as an issuer-controlled corrected report. If the mismatch concerns a batch mapping, request evidence connecting the records. Avoid editing either original document to make them agree. Preserve the actual discrepancy so a later reviewer can reconstruct the investigation.

Request correction through the responsible issuer

Ask who can correct the affected record and what the revised version changes. A report correction should retain a reference or history linking it to the original. A corrected label or quotation should likewise be attributable to the responsible supplier process. Do not create a new COA internally by modifying a received PDF. Where the explanation remains incomplete, maintain pending status and an explicit next action.

Document the review outcome

The final note should identify the discrepancy, received clarification, any revised records and the decision’s scope. Distinguish a resolved naming question from an independently verified analytical result. Keep superseded files as history and make current execution records unambiguous. If a change affects an approved specification, involve the appropriate technical reviewer before release. One resolved mismatch does not establish conformity of every unreviewed field.

Before closing this review

  • Original records are preserved.
  • Explanations are separate from facts.
  • Corrections come from the responsible issuer.
  • The decision states what was actually resolved.

Continue with check batch identifiers; request document clarification. Save the relevant product or guide link alongside the written response so another reviewer can reconstruct the decision.
