Specification Limit, Measured Result and Pass Label: Three Separate Report Fields

Read specification limits, measured results and pass labels independently. Confirm the quantity, basis and decision rule before accepting a summary conformity statement.

A COA often places specification, result and pass in neighboring columns. Their closeness can hide the fact that they answer different questions. The specification states a requirement, the result records an observation and the label summarizes a decision. A review should preserve all three rather than treating the pass label as a substitute for the underlying evidence.

Identify whose specification is being used

Ask whether the displayed limit belongs to the supplier’s general specification, the agreed order requirement or another reference. Those may differ. A buyer should not assume that a supplier’s internal limit automatically meets the laboratory’s project criterion. Record specification version and approval context. If the requirement is missing or ambiguous, leave conformity open rather than selecting a convenient number from another report.

Read the result as reported

Preserve units, inequalities, basis and uncertainty or other stated limitations. A measured value should not be replaced with the specification threshold merely because it lies below it. Likewise, a nominal target is not a measured result. The hypothetical table illustrates column roles, not peptide batch data or recommended limits. Keep the original issuer wording alongside any explanatory calculation so the review does not create a new laboratory result.

Fictional report rows demonstrating column roles
Specification Reported result Review meaning
Defined limit X Measured value Y on stated basis Compare compatible quantities
Nominal target No measured result supplied Do not mark target as measurement
Result < threshold Inequality retained Threshold is not exact measured value
Property not tested No result No passing conclusion inferred
Pass label conflicts Original rows preserved Issuer clarification required

Ask how the pass label was assigned

Request the relevant decision basis where it matters to the project. Does the statement compare a measured result with a stated limit, or is it another form of declared conformity? A pass label without a clear quantity and criterion may be too limited to close the requirement. The laboratory should assess the actual scope rather than interpreting the label as proof of every identity, purity, content and packaging question.

Keep untested fields separate from passing fields

If a property was not evaluated, mark it not tested or not provided according to the record. Do not extend a passing result in one row to every absent row. A complete-looking report can still have gaps in the project’s requirements. Ask whether additional evidence is available and let the reviewer decide the next step. Avoid filling absent values with nominal specifications simply to make the acceptance spreadsheet appear complete.

Resolve contradictions with the issuer

If a numeric result and summary decision appear inconsistent, preserve the discrepancy and request clarification or correction. Do not silently edit the report or choose whichever column supports acceptance. Retain revisions and the reason for change. The final review should show the accepted requirement, actual evidence and responsible decision. This is a bounded procurement review, not a claim that any one pass label establishes universal quality or clinical suitability.

Before closing this review

  • Specification source is explicit.
  • Targets are not measurements.
  • Untested properties remain untested.
  • Contradictory labels receive issuer clarification.

Continue with check the scope of a batch report; find or request the relevant batch record. Save the relevant product or guide link alongside the written response so another reviewer can reconstruct the decision.

Editorial scope: research-material procurement and document review. Not medical guidance, dosing instructions or a claim of suitability for human use. Requirements and availability must be confirmed for the quoted material.
