Corrected Peptide Reports: Keep Revision History and Retire Superseded Files

Control corrected peptide reports with an explicit revision history. Compare changed fields, verify the issuer and keep superseded records out of the active review package.

A corrected report can resolve a genuine documentation problem, but it also introduces another version that must be managed. The buyer needs to know who issued the correction, what changed and which file now supports the review. Keep revision history without allowing obsolete records to remain the apparent final evidence for receiving or repeat procurement.

Identify the authorized revised record

Record original reference, revised reference or version, issue date and issuer. Confirm the revision through the appropriate established route where needed. A renamed file or a supplier-forwarded screenshot does not itself explain what changed. If a report belongs to a testing issuer, request its authorized correction rather than editing the document internally. This workflow does not certify any organization’s quality-management system.

Compare fields instead of replacing blindly

List old value, new value and issuer explanation for each changed field. Distinguish administrative spelling or sample-reference corrections from analytical changes or new testing. Ask whether test dates or sample scope changed. A recent revision date should not be interpreted as a new analysis unless the issuer confirms that work. Keep the original question and response beside the comparison so the reason for correction remains clear.

Reassess affected review decisions

If a revision changes identity, lot mapping, method scope or a result used for acceptance, reopen the relevant review. A purely administrative correction may need a narrower update, but record that conclusion rather than assuming no impact. Ask who owns the reassessment and what remains pending. Do not let the corrected file retroactively erase the uncertainty under which an earlier decision was made.

Separate active records from historical evidence

Mark the new accepted version current and the prior one superseded while retaining both under controlled records. Update links in the order, receiving or traceability index. Avoid multiple files called final without version references. A historical folder can preserve investigation evidence without confusing a colleague using the active package. Access and retention should follow the institution’s procedures rather than a universal rule invented by this article.

Close the correction with a traceable note

Summarize the changed fields, issuer confirmation, review impact and final decision. Record the date and responsible role. If another revision arrives, continue the chain rather than starting an unrelated file. For repeat orders, current reports remain tied to their original sample or lot; correcting an old report does not make it evidence for a new batch. A clear version trail supports reliable document comparison without extending analytical conclusions beyond their scope.

Before closing this review

  • Correction authority is clear.
  • Field changes and reasons are recorded.
  • Affected decisions were reconsidered.
  • Current and superseded versions are unambiguous.

Continue with keep a traceability file; check the current published record. Save the relevant product or guide link alongside the written response so another reviewer can reconstruct the decision.
